Autonomous Desk Setup: 7-Step Checklist & Review After 14 Installs

If you've got an Autonomous desk box in your office and an unread manual sitting on top of it, this is for you.

I manage a 14-person medical billing office. In early 2024, we replaced our fixed desks with Autonomous SmartDesk 5 units — 12 in the first order, 2 more later that year. I've assembled all 14 and trained two part-time staff to do it on their own. I've also made most of the rookie mistakes along the way, including an expensive cable-tray choice I'd rather forget.

This checklist comes from the second install, not the first. Because the first install was a mess: a missing-screw panic (they were in a hidden pouch), a cracked desktop edge I still think about, and a permanent marker mark on a freshly painted wall. This is the version I wish I'd had before unboxing anything. It has 7 steps, and each one ends with a checkpoint so you know you're on track.

Step 1: Check Everything Against the Autonomous Desk Manual

The printed Autonomous desk manual sits under the packing foam. Take it out first. I skipped the inventory on desk #1 and found out halfway through the build that two bolts from the frame kit seemed missing — until I found them in the accessory pouch wedged between two sheets of cardboard. A 10-minute inventory check would have saved me 30 minutes of searching.

The manual also flags differences between the SmartDesk 2 and SmartDesk 5 frame hardware. If you're assembling more than one model, don't assume parts are interchangeable.

Checkpoint: every item on the parts list matches what's in the box. Don't open the parts bags until this is done.

Step 2: Measure the Position Before Unscrewing Anything

The motor housing on these desks extends further back than you'd expect. Our first SmartDesk 5 sat flush against a freshly painted wall, and the motor casing left a 3-inch gap that looked sloppy. We shifted all of the desks 6 inches forward afterward.

Measure the desk footprint with the frame attached, then add at least 2 inches of clearance behind each unit. Check outlet positions too. A standing desk needs a nearby grounded outlet for the power supply and the controller cable.

Checkpoint: the desk fits in its planned position with clearance, and a grounded outlet is reachable without an extension cord.

Step 3: Assemble the Frame — Route Cables Before the Legs

This is the step most people get wrong, because it's not intuitive.

Most people attach the legs first. I did. Then you flip the frame over and try to feed cables through channels that are half-covered by the leg brackets. It's fiddly, it eats time, and it risks pinching a cable.

The order that works, from the 14-desk method:

  1. Unfold the frame rails.
  2. Route the motor and controller cables through the frame channels while everything is still open.
  3. Attach the legs to the rails.
  4. Attach the feet.
  5. Flip the frame over and position it on the desktop.

That turns a 15-minute cable wrestling match into a 2-minute job.

Checkpoint: cables are seated in the channels with no pinching at any joint.

Step 4: Mount the Desktop — Use the Screws in the Box

The mounting screws are sized specifically for the SmartDesk brackets. Substituting from your hardware bin is risky: too short, the desktop isn't secured; too long, you poke through the top surface.

Center the frame on the desktop before drilling. With a second person, lift and align both ends at once. Working solo, clamp the frame to the desktop along the front edge before driving the screws.

If your desktop doesn't have pre-located holes, drill pilot holes — the manual includes a template. Ask me why this isn't optional. (Mistake #2: skipped pilot holes, the wood split at the last corner. The crack was hidden under the frame bracket, but I knew. I still think about that crack.)

Checkpoint: the frame is centered, no screws have broken through the surface, and the desktop sits flat.

Step 5: Cable Management — Don't Use My Cheapest Option

The basic tray that ships with the frame handles a single power strip and a laptop charger. For dual monitors, it's not enough.

I tried to save $40 here. Bought a thin-gauge no-name cable tray. It sagged within 30 days under a power strip, two monitor bricks, and an Ethernet hub. Replacement: $55. The $40 I saved cost me $55 plus a re-installation afternoon. (Surprise, surprise.)

If you're building a majority-standing setup, plan cable routes at the tray level, not the desktop level. Use a grommet or a clamp-on cable port to bring wires from the tray up to the laptop.

Checkpoint: nothing on the desk touches the floor, and all cables move freely as the desk raises and lowers.

Step 6: Power Up, Calibrate, Then Set Memory Presets

The sequence that works:

  1. Plug the desk into power.
  2. Press and hold the down button until it descends fully.
  3. Release, then press and hold again until the desk rebounds slightly and stops.

That's calibration. It tells the controller where the lower limit is. Skip it, and the desk may stop at odd heights or hesitate mid-travel.

The memory presets on the SmartDesk 2 and SmartDesk 5 each store up to 4 settings. The detail that trips people up: to save a position, press the preset number and hold it until you hear a beep. Tapping won't save. Three colleagues told me their presets were "broken." They weren't.

Checkpoint: the desk runs from lowest to highest without hesitation, and all 4 presets recall correctly.

Step 7: Labels, and How to Get Permanent Marker Off the Wall

With 14 identical desks, we needed to know which desk was which. That's where labeling comes in.

We now print labels in-house on a small UV printer — it cures UV ink onto adhesive vinyl, and the tags have lasted 8 months on the desk frames without fading or peeling. It handles desk IDs, user names, and door signage well enough for an office our size.

Before we bought the machine, we used an online print vendor. The first order of simple adhesive labels cost about $50 for 20 labels, plus a $25 setup fee for the file (based on published online printer prices, January 2025; verify current rates). That setup fee is common in commercial printing — custom color prep alone runs $25-75 per color. Knowing that range helps when pricing out a small rollout.

And the permanent marker incident: during a height measurement, a part-time helper marked wall positions with permanent marker. On the wall we'd painted the same week. The fix that worked: write over the permanent marks with a dry-erase marker, let it sit for a few seconds, then wipe both off with a paper towel. The solvent in the dry-erase ink dissolves the permanent marker off the wall. It took about 15 seconds per mark. Saved us the repaint.

Checkpoint: desks are labeled, the wall is clean, and the workstation area looks presentable.

Common Mistakes to Avoid

If you only remember three things:

  • Read the Autonomous desk manual before assembling. It's a 10-minute read, and it covers cable routing and calibration steps that are easy to get wrong.
  • Route cables before attaching the legs — not after.
  • Don't cheap out on the cable tray.

Autonomous Standing Desk Review After 14 Installs

For a mid-range priced desk, the SmartDesk 5 has performed well so far. The motors are generally quiet, though one unit developed a noticeable whine after about 4 months; a controller swap under warranty fixed it. Build quality is solid — not ultra-premium, you can feel the difference from a $1,500+ frame — but for our budget, it's been dependable.

To justify the rollout to our CFO, I pulled three months of work RVU data before and after the desks landed. Using an RVU calculator to account for team size changes across weeks, afternoon office productivity was up roughly 7% in the post-install period. Is that all the desks? I doubt it. Part of it was probably morale, part was people simply being more comfortable. But the timing matched, and team feedback was consistently positive.

One caveat: my experience is based on 14 standard SmartDesk 5 units in one medical billing office. If you're setting up an L-shaped frame or a single DIY kit at home, your experience might differ. The manual is still your best reference.
